Data Deletion Instructions
VenueOS, operated by SutrVerse, lets venue teams manage inventory, leads, bookings, and customer communications. This page explains how you can request deletion of personal data we hold about you, including any data we may have received through Meta’s platform (for example, when a venue team connects an Instagram Business account).

1. Who this applies to
- Venue team members — anyone who signed in to VenueOS to manage a venue (typically via Google).
- Event customers — anyone whose details were added to VenueOS by a venue team (names, phone numbers, Instagram handles, event preferences) as part of a lead, quotation, or booking.
- Instagram users — anyone whose data reached us through Meta’s Instagram APIs when a venue connected their Instagram Business account.
2. Quick self-service options
Some deletion can be done immediately without contacting us:
- Disconnect Instagram — if a venue connected their Instagram Business account to VenueOS, open Settings → Integrations → Instagram in the dashboard and click Disconnect. Future Instagram messages will no longer be ingested. (Past ingested messages still need a separate deletion request, covered below.)
- Disconnect Google — open your Google account permissions page, find “VenueOS” in the list, and click Remove access. We will no longer receive any Google profile data.
- Remove individual leads / bookings — venue admins can delete specific leads, quotations, or bookings directly from the dashboard. The associated customer details, line items, and message history are removed.
3. Full account or full-data deletion
For complete deletion of your account and all personal data we hold about you (or about a specific person whose data you are authorised to request on behalf of), email us:
- The email address used to sign up (for venue team accounts).
- The venue name (helps us locate the right account).
- For an event-customer / Instagram-user request: the phone number, Instagram handle, or other identifier you used; and a brief description so we can verify your relationship to the data.
4. What gets deleted
- Account profile (name, email, phone, profile picture).
- Venue operating data tied to the account: inventory, leads, quotations, bookings, payments, calendar, messages.
- Any Instagram or WhatsApp message content ingested through the platform.
- Files and images uploaded by the venue team (stored on Cloudflare R2).
- Audit logs containing the requested personal data are redacted to remove personally identifiable fields.
5. What we may retain
Some information may be retained for legitimate purposes even after deletion:
- Legal & tax records — invoices and payment records may be retained for the period required by Indian tax and accounting law (typically 8 years), in a form that limits access to authorised personnel.
- Aggregated analytics — non-identifying usage data (e.g. “X venues created Y leads this month”) may continue to exist in aggregated form that cannot be linked back to you.
- Backup snapshots — encrypted backups cycle out on a rolling schedule (typically 30–60 days). Your data will be purged from backups as the snapshots expire; we do not selectively edit historical backups.
6. Timeline
- We acknowledge receipt of every deletion request within 7 days.
- Live data is deleted from production systems within 30 days of confirmation.
- Backup snapshots are purged within 90 days as they cycle out of retention.
- We send a final confirmation email once deletion is complete.
7. Verifying your request
To protect against unauthorised deletion, we may ask for additional information to verify your identity or your authority to request deletion on behalf of someone else. Until verification is complete, we will not act on the request. If we cannot verify a request, we will tell you why.
